Terms and Conditions
Rent – The rent charged for Barwheys is shown on the Barwheys booking page or quoted to you by email. This is for exclusive use of the property accommodation only. The price includes linen, towels, utilities including electric vehicle charging and logs for the fires. The properties sleep a maximum of 16 people. Extra charges will be incurred where the booking is for a wedding or larger celebration. Any parties that include hire of musicians, DJs, singers or any hired in activity etc must be agreed in advance as these may incur extra costs.
Payment methods – We accept payment by BACS transfer and bank cheque (funds must be cleared to secure your booking).
Deposits – A deposit of 10% of the total price will be invoiced on agreement and must be paid in order to secure your booking. If we don’t receive your deposit within 7 days of booking we will release the dates of your provisional booking.
Security Deposit (£750) – A security deposit will be added to your final invoice and will be returned in full if the property is left in as close as possible state as that when the keys were handed to you and provided there is no damage to any of the contents or fabric of the property. We will make deductions if we need to incur extra cleaning costs in addition to the normal changeover cleaning requirements. We will also deduct the costs of repairing or replacing damaged or missing property. Clearly we will make allowances for minor damages as we appreciate that minor accidents do happen.
Balance – The balance of rent is due in cleared funds a minimum of 4 weeks before your arrival date. If the balance is not paid 4 weeks before the arrival date we will treat the booking as a cancellation and the booking dates will be released. Your deposit will not be returned unless we are able to re-book the property for the same dates.
Cancellations – In the event of you cancelling your booking, no deposit will be returned unless we secure an alternative booking for the same dates. Deposits will only be returned if the alternative booking is based on the original price and must not be in conjunction with any special offers or promotions which we run from time to time. Where a notice of cancellation is received after the balance is due or has been paid, and less than 4 weeks prior to the booking start date, 100% of the total cost will be due/be retained. If we secure an alternative booking for the same period we will return this money to you. Full balance will only be returned if the alternative booking is based on the original price and must not be in conjunction with any special offers or promotions which we run from time to time. In the unlikely event that we cancel the booking we will give you a full refund or let you book for another stay – whichever you prefer – regardless of the time of year – for the same price.
COVID-19 Pandemic – should Government Legislation prevent the booking from going ahead, Barwheys will move the booking to another agreed date at no extra charge, or refund any payments to the customer in full. Should cancellation be made by either party for any other reason other than the latter, then the cancelation policy noted above will apply.
These terms and conditions also apply to any special offer we may have on from time to time. Pre-existing bookings cannot be cancelled and re-booked to take advantage of any special offer which is published after your date of booking.
Additional Day Guests – Any additional guests must be agreed in advance and an extra charge will be added.
Weddings – Where a marqee wedding is being arranged the guests will be responsible for hiring portaloos for over 45 guests. Smaller Granary weddings, up to 37 people will not require the hire of portaloos.
Additional services – Any additional services required such as chefs or transport should be settled directly with the provider of the service, unless provided by Barwheys, in which case a separate invoice will be raised. Where any cutlery, crockery, etc is misplaced, broken or accidentally removed by caterers contracted by the guest, this will be the responsibility of the guest and the cost to replace will be deducted from the security/damage deposit.
Care of the Property – We ask that guests take reasonable and proper care of the property including buildings, gardens, fixtures, fittings, furniture, pictures and other effects in or around the property and shall leave them in the same state of repair and condition at the end of the rental period as found at the beginning. In the event of any damage to property or equipment during the stay please let us know immediately. Our property should be left similar to the condition in which it was in at the time of key hand over.
Guests are requested to leave the property in a clean and tidy condition: this includes cleaning all cutlery and crockery and placing all rubbish in the recycling bins provided in each property and placing in appropriate waste or recycling bins in our recycling area. Please do not place general waste in the bins without being bagged first. An additional charge will be made for any extra cleaning incurred due to property being left in an exceptional bad state.
Each property has an open fire or log burner. We request that for safety reasons you do not empty any of the fires after use. A new fire can be laid on top of old embers. If you have any difficulty lighting a new fire, please contact a member of our staff.
Respect for the Farm & Staff – Barwheys is situated on a working farm and we ask that guests respect the surrounding farmland – the stock, the crops, the wildlife, the woodland and the hedgerows. We reserve the right to request guests to leave Barwheys if they behave inappropriately to our staff, the farm or our buildings.
Outside entertainment (Agreed in advance) – Although music is permitted outside at a reasonable level, we do not allow outside amplified music or outside DJ provided music. Inside music must be played at a reasonable level and sound must be turned down but not off from 12pm.
Smoking – We ask our guests not to smoke anywhere inside any of our Buildings at Barwheys, this includes e-cigarettes. Please do, however, feel free to smoke anywhere outside and on the Farmhouse balcony using the sand filled ashtrays to discard of used cigarettes.
Keys – We will provide one set of keys for each property on your arrival. Please return them to us when you leave.
Drainage – Drainage is to a private septic tank and reed bed treatment system. Please don’t throw insoluble material e.g. nappies, sanitary towels/tampons down the toilet as our eco-friendly sewage system can’t deal with them. We have put disposal bags in all the bathrooms for you to use. Please dispose of all soiled nappies in an appropriate way and ensure you do not leave them in any of the properties on departure.
Dogs/Pets – Being situated near a working farm we regret that we don’t allow pets at Barwheys. Seeing and hearing dogs are, however, welcomed.
Security – If you are going out and about, please ensure that you lock all doors. On final departure, we also request that guests ensure all doors are locked.
Parking – There is plenty of parking around the property, however, on arrival you will be shown where to park and it is your responsibility to ensure you park in the allocated area.
Electricity – On entering each property there is a master electrical switch located at the entrance to each property. Please ensure you switch each of these off on your final departure. If they are not switched on, the lights will not work.
Electrical Car Chargers – We have two electrical car chargers which are available for use by our guests free of charge. These are locked devices, please let us know in advance of your visit if you require to use these. You will need to provide your own charging cable.
Check in and Departure Times – 3pm for arrival and 11am for departure, however, where possible, we will try to accommodate early check in/late check out requests.
Authority – We assume that the lead contact takes responsibility for accepting and enforcing the Terms and Conditions. Payment of a deposit is deemed to confirm acceptance of these Terms and Conditions.
